These Terms and Conditions, together with any and all other documents referred to herein, set out the terms of use under which you may use this website, www.infixsupport.com (“Our Site”). Please read these Terms and Conditions carefully and ensure that you understand them. Your agreement to comply with and be bound by these Terms and Conditions is deemed to occur upon your first use of Our Site. If you do not agree to comply with and be bound by these Terms and Conditions, you must stop using Our Site immediately

Who are we?

Infix Support is a company registered in Glasgow, Scotland (Company Number SC641643). We are registered with the Information Commissioner’s Office (ICO), ZA762692.

This information tells you about how we use your personal data, which is data that relates to you, and which can be used to identify you, either by itself or by combining it with other data. When we talk about ‘we’ or ‘us’ we’re talking about Infix Support.

Employees

What data is used, and why?

We collect personal data use personal data for a variety of reasons;

We use your contact details (name, postal address, email address, telephone number, job role), to facilitate your employment.
We use information about your health to ensure that we meet our obligations under health and safety law, and to provide reasonable adjustments where necessary.
We use financial information (banking details, tax reference etc;) to ensure that you are paid correctly, and that you are enrolled in a pension scheme where required.
Information about your device, and user logs for Infix Support systems that you use as part of your employment (for example Sharepoint document version history, user login logs). We use this information to enforce our policies and keep information secure.

How do you comply with the law?

Organisations are required to have a ‘lawful basis’ for processing personal data.

We process your data as part of the performance of our contract with each employee.
We process health data where it is necessary for complying with laws around health and safety in the workplace, to comply with occupational health and employment law, and to ensure that reasonable adjustments are made where relevant.

How do you share information?

We share information with our data processors, organisations who work on our behalf. This includes;

Suppliers like Microsoft, Atlassian, and Miro who provide communication and collaboration services,
Hubspot who provide sales and marketing tools,
Our payroll and accountancy providers,

We share information with HMRC where required by law to do so.

If information is requested by law enforcement agencies we will consider sharing information on a case-by-case basis, assessing whether there is a lawful basis for sharing. This includes where sharing is necessary for the prevention and detection of crime.

How long do you keep data for?

We keep HR records for 6 years after the end of employment.
We keep employee tax records for 6 years after the end of the financial year.

Customers & marketing

What data is used, and why?

We collect personal data use personal data for a variety of reasons;

We use your contact details (name, postal address, email address, telephone number, job role), to communicate with you.

How do you comply with the law

We have a legitimate interest in processing personal data relating to you so that;

we can communicate with the employees of our customers so that we can fulfil our contractual obligations,
we can communicate with potential customers to grow our business.

How do you share information?

We share information with our data processors, organisations who work on our behalf. This includes;

Hubspot who provide communication, sales, and marketing tools,

How long do you keep data for?

We keep correspondence with customers for 6 years.

We keep data related to marketing for 24 months since the last response from a prospective customer.

Your information rights

Data protection law gives individuals are number of rights, these rights may vary depending on the lawful basis we rely upon for processing the data.

You have a right of access to the personal information that we hold about you, and to some related information.
You can also request that inaccurate personal data be corrected or deleted.
In some circumstances you can object to personal data beingopt-out) used (for marketing for example), ask for processing to be restricted, and ask for data to be erased.
In some circumstances you may have the right to data portability.
You have the right not to be subject to automated processing that has a legal or otherwise similarly significant effect on you.
